Interactive Onboarding Tour for New Portal Users

Description:
When a user logs into a portal for the first time, provide an optional guided walkthrough that introduces the core features and helps them get value immediately.

The tour could highlight:

  • How to create and manage tasks
  • Where to upload and access files
  • How to submit requests and forms
  • How to use chat and communicate with the team
  • Where to find notifications and activity history
  • Basic portal navigation and key areas

Additional considerations:

  • Only show automatically on first login
  • Allow users to skip or replay the tour later
  • Support different tours based on user role (Admin vs Client)
  • Track completion so users aren’t repeatedly prompted
  • Include quick tips and contextual guidance instead of long explanations

Why:
New users often arrive in a portal without knowing where to start. A guided onboarding experience would reduce confusion, improve adoption of key features, and help users become productive faster.

Lock Account Sorting

Hey there, I asked for this before, but it hasn't been updated ... in the main accounts view, the sort always resets and I have to continually sort by name over and over. If you can programmatically lock the sorting to whatever people choose, that would be fantastic.

Tracking Settings - ActiveCampaign

I see a beta implementation for GA and Hubspot has been added. It would be nice to be able to add similar ID for ActiveCampaign. They allow/provide a tracking ID / snippet so I can track visitor actions and sync contact activity with that platform - similar to Hubspot.

Currently, If I disable the task module, the Insert template won't be available, is it possible to add it also in your next update to add the insert template in my task area, it would be very helpful If you can add it, we won't be adding the same task manually

"View As" Mode — Preview the Portal Through the Client's Eyes

Summary

Add a "View As" toggle that lets agency users instantly preview the portal exactly as a client would see it — without logging out or switching accounts. This eliminates guesswork around what clients can and cannot see, and gives agencies confidence that privacy settings are working correctly before a client ever logs in.


The Problem

Currently there is no way to verify the client experience from the agency side without logging in as the client. Features like "hidden" toggles on Starred Images, Starred Files, and folders exist — but there is no easy way to confirm what is actually visible to the client without a separate login. This creates uncertainty and potential for accidentally exposing internal content.


Requested Features

  • A "View As" toggle accessible from the agency portal toolbar
  • Two modes at minimum: Agency View (default) and Client View
  • Optional advanced mode: View as Specific User — select an individual client contact by name to preview their exact permission set
  • Client View should suppress all internal-only content, hidden sections, and agency-only tools exactly as the client would experience them
  • A visible banner or indicator while in Client View mode so the agency user always knows they are previewing (not operating as themselves)
  • One-click return to Agency View from the banner

Use Cases

  • Verify that internal folders and hidden files are not visible to the client before sharing the portal
  • Confirm which dashboard sections (Starred Images, Starred Files, Tasks, etc.) are visible or hidden
  • Onboarding quality check before inviting a new client to the portal
  • Spot-check permissions after making changes to visibility settings

What This Solves

Agencies are already managing visibility settings per section and per folder — but have no way to validate those settings are working correctly without a separate client login. A "View As" mode closes that gap entirely, giving agencies a fast, frictionless way to audit the client experience at any time. It also reduces the risk of exposing internal notes, works in progress, or sensitive documents to clients accidentally.


Suggested Implementation

A toggle or dropdown in the top agency toolbar labeled "View As" with options for Agency View, Client View, and optionally a specific client user. A persistent amber banner displays while in preview mode: "Previewing as Client — this is what your client sees." with an Exit button to return to normal view.

Show the Work: Client-Facing Timeline for Completed Tasks

Summary

Add a dedicated Timeline tab to the client portal displaying a chronological, scrollable history of all completed work — giving clients full visibility into everything done on their behalf without requiring a status call or email thread.


The Problem

When a task is marked complete, it disappears from the client-facing view. The portal only shows open or in-progress work, so clients have no way to see the full body of work completed on their account — which can create the perception that less is being done than actually is.


Requested Features

  • Timeline tab in portal nav, ordered newest to oldest by completion date
  • Each entry shows: date, category badge, title, and short description
  • Summary bar at top: total completed items + items completed this month
  • Category filters (SEO, Content, Design, Reports, Social)
  • Auto-populates when a task is marked complete; manual entry also supported

What This Solves

Preserves every completed item in a permanent, always-visible history. Answers the "what have you done for me?" question proactively, reinforces ongoing value, and reduces churn risk — all without extra communication from the account team.


Suggested Placement

New "Timeline" or "Work History" tab alongside Dashboard, Tasks, Files, and Services.

Passwordless Portal & Task Access (Magic Links + Secure View Links)

Add the ability to share secure, passwordless access to:

  • Full client portal views
  • Individual task approvals
  • View-only public links for specific widgets, dashboards, or tasks

The Problem

Requiring clients to log in slows approvals, delays projects, and creates unnecessary friction — especially for non-technical users.

What This Would Allow

With a secure magic link or tokenized URL, clients could:

  • View reports, dashboards, widgets, or updates
  • Open a specific task
  • Review attachments
  • Leave a comment
  • Approve / Reject
  • Mark complete (if permissioned)

All without logging in.

Suggested Guardrails

  • Time-limited links (configurable expiration)
  • Single-use or multi-use options
  • Scoped permissions (portal-wide, task-specific, or view-only public)
  • Revokable access
  • Basic audit trail

Team-Only Visibility for Client Portal Tabs
Planned

Add a visibility option to Client Portal navigation tabs that allows them to be shown to internal team members only, while remaining hidden from clients.

Problem:
Currently, navigation tabs can be made global (visible across all accounts), but there is no way to restrict a tab so that it is visible only to internal team members. This limits use cases where teams want shared internal resources (e.g., Google Docs, SOPs, reference links) accessible inside every client portal without exposing them to clients.

Suggested Solution:
Introduce a "Make it hidden" toggle that would hide client portal tabs from clients.

In Testing: File Trash & 30-Day File Recovery

There is no confirmed release date yet. Because this touches file retention and account-level permissions, we’re taking extra time to ensure it’s secure and reliable.

We’re adding a Trash section to the Files module that stores deleted files and folders for 30 days before permanent removal.

Account owners and team members will be able to restore accidentally deleted content with one click. After 30 days, items will be automatically and permanently deleted.

This Trash area will not be visible to Portal Users or clients.
